Service, Maintenance and repair Method Statement
All work will be carried out by fully trained and competent staff in accordance with Quality System Procedures. Such procedures include Work Instructions, Safe Working Practices, and Work Process Risk Assessments, COSHH data sheets and risk assessments where required. Where agreed in writing, customers own “Terms and Conditions for Contractors’ will be fully complied with under your control.In carrying out Servicing, Breakdown Repairs, Routine Maintenance visits or attending to Breakdowns the following methods will be used:
Induction: Where required, engineers will attend site operator’s induction programmes (our time will be chargeable)
Equipment to be used: All work equipment will be supplied and maintained in accordance with applicable legislation and company procedure. Apart from normal engineering hand tools the most used equipment will be a portable jack and safety blocks/ axle stands to block equipment when machine is raised up off the floor during any maintenance process. Portable battery operated tools will be used where possible.
Electrical/Mechanical Equipment Isolation and Lock Off Under all circumstances electrical/mains isolation and lock off mains voltage supply is the responsibility of the site operator and will be conducted in accordance with their procedures. Appropriate measures will be used to prevent unauthorised use/movement of equipment under repair or service.
Personal Protective Equipment
Work wear and overalls and safety boots will be worn where required when on site during routine maintenance visits or repair work. The wearing of jewellery by service engineers whilst at work, is not allowed. The only exceptions are a simple wedding band and a watch with a non-metallic strap. Goggles/safety glasses, hard hat, ear defenders, high visibility vest, gloves, safety boots and dusk mask are among the standard PPE kit carried in our mobile workshops and will be worn in accordance with the relevant Work Process Risk.
Control of Substances Hazardous to Health (COSHH)
There are a limited number of substances authorised for use by our mobile engineers. Engineers are instructed in the safe use, handling, storage and disposal of these substances and hazard data sheets are available for each one. Copies of the list and hazard data sheets are available on request. All engineers carry sufficient absorbent material to prevent any perceived accidental spillage entering drains or water courses.
Control of Noise Generally, while servicing, repairs, or routine maintenance, there are no processes which generate noise greater than 80Dba. Should such a situation occur, then our engineers will seek permission to proceed with the task from the site contact. Ear protection will be worn by the engineer during the process.
Access Equipment/Working at Height Normally there is no requirement to use access equipment in the provision of onsite service. However, should the need arise for any reason, access equipment used will conform to the Health and Safety Executive recommended code of practice.
Cleaning and Waste Disposal The performance of an on-site service, in general produces very little waste. The contract site will be left as found. All waste materials will be removed, subject to the customer holding the correct waste licence, for disposal as appropriate off site. Non-recyclable rubbish and waste materials will be disposed of through licensed waste disposers. All in accordance with Health, Safety & Environmental procedure
Training All engineers receive safety training. On the job Risk Assessment, COSHH, Manual Handling, Provision and Use of Work Equipment, PPE and Emergency Fire Procedure are among the specific safety items covered as well as product training.
Each one is trained to drive forklift trucks (for maintenance/ testing purposes only).
Work Area
To ensure the safety of all personnel it is a requirement that the customer provides a dry, safe place of work adequately lit with access to electric power, as appropriate. Such a place may be permanent, e.g. a workshop, or a temporary designated area within the confines of the premises. If the customer requires the work area to cordoned off. It is the customers responsibility to provide the necessary equipment to do so.
Hazards There are no significant hazards associated with the maintenance process. Minor hazards are jointly controlled in the provision of a safe work area by the site operator and the adherence to appropriate work instructions and safe working practices by the engineer. When an engineer is obliged by circumstances beyond his control to deviate from this method statement, he will do so only after consultation.
Control of Subcontractors Leicestershire Forklifts does not routinely use subcontractors. If in exceptional circumstances the services of a subcontractor are required, they will be chosen by Leicestershire Forklifts approved supplier list and will operate in accordance with legislative requirements, established Best Practice and the site operator’s terms and conditions.
Final Inspection and Test
On completion of all work a Final Inspection and Test will be conducted. Any safety guards or switches removed will be refitted and operational safety controls verified. Any health and safety issues/advice concerning the safe working condition of customers forklift will be raised and documented. The equipment will be offered to the site operator’s management representative for checking and handover.

3. Reduce waste to the lowest practical level ensuring responsible disposal of waste created and received.
4. Advocate involvement in all environmental matters, seeking suitable training and support regarding this environmental policy.
5. Minimise any adverse environmental effects caused because of our activities, products, and services.
6. Ensure that any persons working on our behalf are made aware of and agree to comply with this policy.
7. Seek to ensure that products and/or services supplied or provided by third parties can be used, handled, stored, and disposed of in a manner which safeguards theenvironment and the health and safety of all.
Anti slavery and Human Trafficking.
Leicestershire Forklifts have a zero-tolerance approach to slavery and human trafficking.
We are committed to ensuring that there is no modern slavery or human trafficking in our supply chains or in any part of our business.
The Leicestershire Forklifts anti-slavery policy reflects our promise to act ethically and with integrity in all our business relationships. We implement and enforce effective systems and controls to ensure slavery and human trafficking are not occurring anywhere in our supply chains.
Our relationships with our suppliers and customers have been established over some years and are built upon mutually beneficial factors.
We have close and personal links and contact with the owners or directors, reflecting the fact that we partner with small and medium-sized operations in the main.
When we appoint new contractors or suppliers, we pre-qualify them through a due diligence process. We look at company performance and get references from other customers where required to establish that they are suitable.
To date, we haven’t been made aware of any human trafficking or slavery activities within the supply chain or at customers premises however, if any were highlighted to us, we would act immediately in accordance with our legal and moral obligations.

Your information cannot be accessed by those who do not work at Leicestershire Forklifts and only those working at Leicestershire Forklifts have access to your information. We understand our legal responsibility to maintain confidentiality and follow company procedures to ensure this. We take precautions to ensure security of the premises, filing systems and computers. Our computer system has a secure audit trail and we back-up information routinely. At your request, we will delete non-essential information (for example contact details).
Access To Your Information & Other Rights:
You have a right to access the information that we hold about you and to receive a copy. We do not usually charge you for copies of your information; if we pass on a charge, we will explain the reasons. You can also request us to: • Correct any information that you believe is inaccurate or incomplete. Net 30 Payment Terms and Conditions
Payment Terms:
The Buyer agrees to pay for the goods or services provided by Leicestershire Forklifts within 30 days from the invoice date unless otherwise agreed in writing. This is referred to as “Net 30.”
Invoice Date:
The invoice date is the date the invoice is issued by Leicestershire Forklifts.
Late Payment Penalties:
If payment is not received within 30 days of the invoice date, the following late payment penalties will apply:
A £25 late fee will be charged for every 30-day period the payment is overdue. Interest will be charged on the overdue amount at a rate of 8% per annum above the Bank of England base rate, calculated daily, starting from the 31st day after the invoice date.
Payment Methods:
Payments can be made by bank transfer, cheque, or other methods as agreed in advance. Our bank details or payment instructions will be provided with the invoice.
Disputes:
Any disputes regarding the goods or services provided must be submitted in writing within 7 days of receiving the invoice. Failure to do so will result in the Buyer being deemed to have accepted the goods/services and the payment terms.
Suspension of Services:
If payment is not received after 30 days, Leicestershire Forklifts reserves the right to suspend any ongoing services or withhold any further deliveries until payment has been made.
Action:
If payment is not received within 60 days, Leicestershire Forklifts reserves the right to pursue pre-legal and legal action for the recovery of the outstanding amount including any associated pre legal and legal fees .
Cancellation and Refund Policy:
No refunds or cancellations will be accepted once payment has been made unless otherwise agreed by both parties in writing.
